Tips and Tricks

The following are tips and tricks to help when using Elite software products.


Cost Entry Using Control Totals

  1. Select Cost Entry Using Control Totals from the 3E dashboard.
  2. Select the Folder service from the worklist.
  3. Type the batch amount in the Control Total field. This field is required.
  4. Click Add.
  5. Type information about the cost(s) in the worklist grid or form fields. Fields preceded with an asterisk are required.
  6. Click Release. The transactions will not be posted until the receipt total matches the Control Total entered on the Folder page.
  7. Click Update to get a cumulative batch total. The total displays at the bottom of the worklist.


Have You Ever Had a Timecard that You Could Not Track Where the Work and/or Bill Rate Was Coming from?

This is because Enterprise has a rate it uses to determine which rate to use when one or more of the following apply to the matter/client/timekeeper: Exception Rates, Discount Groups, Activity/Override Codes, Max Rates, etc. To determine which rate a timecard is using, follow the Enterprise rate hierarchy list from top to bottom to find the rate.

  1. Using the list below, take a look at the Matter from the timecard (Billing Manager > Master Files > Matter - Billing 1 tab) to determine if the Discount Group field is populated. If it is, view the Discount Group Code setting (Billing Manager > Setups > Matter/Client/Timekeeper > Discount Group Codes). If this field is not populated on the matter, continue to the next item in the list.
  2. On the timecard, determine if an Activity Code was used (see screenshot below). If it is populated, look at the Activity Code setting (Billing Manager > Setups > Time/Cost/Ledger > Activity Codes). If this field is not populated on the timecard, continue to the next item in the list until you find the rate that is used on the timecard.

Below is the rate hierarchy for Enterprise 3.8 and 3.9.

  1. Discount Group

    The Volume Discount is added once a threshold/milestone has been reached. If percent or amount deviation discount exception rates are used, they are applied to any exception rate or the timekeeper's rate on a matter.

  2. Activity Rates and Override Amount

    If an activity code is used on the timecard, the rates associated with the Activity code override the matter/client rates.

  3. Maximum Matter Rate/Maximum Client Rate (whichever is lower)

    Note: There is a vboption (Tools > Options > Matter) titled Matter Max Rate overrides Client Max Rate. If this vboption is set to 'True', the matter max rate prevails (if one exists), even if the client max rate is lower. New in Enterprise 3.8, is the matter vboption Matter non-maximum Exception Rates Override Client Maximum Rate. If this option is set to 'True' (then both options must be set to true) and any type of non-maximum matter exception rate (Timekeeper, Title or ALL) will override the Client Max Rate. Note: Enterprise 3.7, 3.6 and 3.5 and lower have their own specific rate hierarchy.

How to Import Documents into ProLaw

Launch ProLaw by double clicking the ProLaw icon.

Click the Matters button    on the ProLaw toolbar.

In Matters click File Import Documents.

The Import Documents window will pop up.

Now we get to the fun part.

  1. Select a matter in the Matter ID field
  2. Make sure the Date and Professional initials are correct
  3. Select an event type (typically you will use attached document)
  4. If need be you can select an Event Class
  5. Fill in any note for the notes field. This note will be attached to all the imported documents

Now you can path to the folder where the documents are stored

Once you have the path selected you should see the list of files in that folder in the window below. Select the files you want to import (you can select more than one by holding the Ctrl button on your keyboard and clicking the file you want to select.)

Now click the green check in the upper right hand corner.


The documents you had selected will now be moved from the existing location to within ProLaw.


When Using MatterSphere in Outlook I Would Like to Be Able to See Client and Matter Data alongside the Email — How Can I Do This?

While client and matter data appears alongside the email in certain circumstances, it does not happen in the inbox.

To view the client and matter data alongside the email from the inbox, you will need to change the view:
